At least, there are two things should be recognized, namely:
- Procedure for equalizing diplomas and distribution of students
- Taking care of national student ID numbers
1. Equalizing the Diploma (PI) and Distribution of Student (PS)
- Diploma Equalization Service (PI) is an equality assessment service for document of learning results (diplomas / certificates / value transcripts / report cards) issued by overseas / domestic education providers that do not adhere to the national education curriculum stipulated by the Ministry of National Education.
PI is needed as a substitute for a diploma (elementary, junior high or high school diploma) if the person concerned does not have due to curriculum differences.
- Student Distribution Service (PS) is an assessment service for distribution of students who study abroad or who study outside the Indonesian national curriculum and will follow the national curriculum.
PS is needed to know students will be included in the appropriate level of education in national curriculum. It is required for all transfer students, including transfer students at the elementary level even though they do not need a PI.
Currently, both services can be carried out online through the following link: http://e-layanan.dikdasmen.kemdikbud.go.id/elayanan/.
A. PI Requirements
- Fill out the service request form online;
- Attach the required documents, such as:
- Applicant’s passport photo sized 4×6;
- Passport;
- Certificate from the local RI Representative and / or Representative of the Foreign Country in Indonesia / statement from the school of origin;
- Diploma / Certificate (if the education provider issues a diploma);
- Score transcript;
- Curriculum Program Structure. This document is not necessary if the education provider (school of origin) provides this document on its official website;
- Birth certificate / letter of birth recognition;
- Report cards grades 1,2 and 3 (SMP / SMA / SMK) and scanned report cards for the last 3 years (SD).
B. Procedure for Equalizing Diploma (PI)
- Applicant registers for diploma equalization services online through the following link http://e-layanan.dikdasmen.kemdikbud.go.id/elayanan/;
- Cooperation and Public Relations Subdivision verifies and processes the applicant form and other required documents (Applicants who register online must come to verify the scanned documents required online with the original documents);
- The Assessment Team verifies the registration form and its completeness documents, provides assessment and approval;
- Head of the Cooperation and Public Relations Subdivision approves and prepares the concept of an overseas diploma equivalency certificate;
- The Head of the Legal, Administration and Cooperation Division examines and approves / put initials on the concept of an overseas diploma equivalency certificate;
- Secretary of the Directorate General of Primary and Secondary Education signs the concept of equivalency of foreign diplomas certificate;
- ULT (Integrated Service Unit) receives and submits certificate of equivalency of foreign diplomas;
- Applicant receives certificate of equivalency of foreign diplomas;
- Photocopy of passport;
- Photocopy of certificate from the local RI Representative and / or Representative of Foreign Countries in Indonesia / Photocopy of certificate from the school of origin;
- Photocopy of Diploma / Certificate. For diplomas / certificates that use foreign languages ??other than English should be translated into Indonesian or English by sworn translators;
- Photocopy of Value Transcript. For transcripts that use foreign languages ??other than English, to be translated into Indonesian or English by sworn translators;
- Photocopy of Birth Certificate / Birth Identification Letter and / or Family Card;
- Photocopy of report cards grade 1, 2, and, 3 levels of high school / vocational / equivalent. For report cards that use foreign languages ??other than English should be translated into Indonesian or English by sworn translators.
Notes for PI Service:
- Settlement period: 5 working days since documents are complete
- Fees / rates: No fee is charged
- Service product: Certificate of Foreign Diplomas Equalization
C. Requirements of Students Distribution Service
- Passport and Birth Certificate
- Statement Letter of School Transfer from the school of origin or former school
- Statement Letter from local RI Representative (KBRI); and
- Score Transcript/Latest Report Card
D. Procedure for Student Distribution (PS)
- Applicants register for online student distribution services through the following link http://e-layanan.dikdasmen.kemdikbud.go.id/elayanan/;
- Cooperation and Public Relations Subdivision verifies and processes the applicant form and its completeness (Applicants who register online must come to verify the scanned documents required online with the original documents);
- The Head of the Cooperation and Public Relations Subdivision approves / put the initials on the concept of a student distribution recommendation letter;
- The Head of the Legal, Administration and Cooperation Section examines and approves / put the initials on the concept of a letter of recommendation for channeling students;
- Secretary of the Directorate General of Primary and Secondary Education signs a letter recommending the distribution of students, then sends it to the Applicant or via ULT;
- Applicant receives a letter of recommendation for channeling students.
- ULT receives and submits the letter of recommendation for channeling students;
Notes for Student Distribution (PS):
- Settlement period: 5 working days
- Fees / rates: No fees are charged
- Product services: Letters of recommendation for the distribution of overseas students or students from SPK schools
2. Taking care of National Student Registration Number (NISN)
NISN (National Student Registration Number) is a service system for managing national student registration numbers managed by the Ministry of Education and Culture Data Center which is part of the Ministry of Education and Culture Dapodik (Basic Education Data) program.
If students are transferred from abroad who do not yet have an NISN, are required to register that will be required for the maintenance of the School Exam number.
Steps to get NISN for elementary and junior high schools:
- Check on page: http://nisn.data.kemdikbud.go.id/page/data.
- Parents can ask directly to the school, school operators who have access to the NISN system and ensure that student data is included in the system.
- NISN will be created automatically in the system.
Steps to get a NISN for high school:
- Check online to the following page: http://nisn.data.kemdikbud.go.id/page/data
- Contact the PDSP by sending an email to the address pdsp@kemdikbud.go.id with the subject: Pengajuan NISN Baru untuk siswa kelas 12
- Complete the new NISN submission form for class 12 completely with the Excel format as suggested by the operator
- Send the form to PDSP and check periodically to email address pdsp@kemdikbud.go.id
Things that need to be considered:
- NISN can be accessed / viewed on page: http://nisn.data.kemdikbud.go.id/page/data
- Not all schools need the help of parents to look for NISN, because NISN submissions are normally done by schools
- For certain cases, management by the school takes a long time and sometimes it does not work. It is recommended to take care of you by actively communicating with pdsp@kemdikbud.go.id and within 2 weeks a new NISN is available and there are no fees at all.
- For elementary and junior high school levels, only with the help of school operators can student data be entered into the system. PDSP will help enter data for 12th grade students.
